Seven tabs that run the whole company — who is on what, what it cost, what is on the truck, and what you invoiced. One payment. It is your file, in your Google account, forever.
Instant digital delivery. One purchase, one file, no subscription. Full refund within 14 days if it does not do what this page says it does.
This is an HVAC dispatch spreadsheet that replaces software costing $499 a month. 7 tabs, built for HVAC contractors who are past the whiteboard and not willing to pay per seat for the privilege.
The HVAC dispatch spreadsheet: every job on one board, every truck counted, every margin visible.
What you are actually buying
This is a Google Sheet with roughly 3,700 formulas already in it, built by an Apps Script that constructs every tab, format, dropdown, badge and chart the moment you run it. You format nothing.
It runs in your own Google account. Your job data never touches our server, there is no login to lose, and there is no seat to pay for — share it with three techs or thirty and it costs the same as sharing it with nobody.
Why an HVAC dispatch spreadsheet and not a subscription
Every HVAC owner running three to eight trucks hits the same wall in the same order.
First the whiteboard stops being enough, so the schedule moves to a group text. Then the group text stops being enough, because nobody can tell you what the Feldman job actually cost once you count the tech’s hours, the compressor, and the second trip for a part that was supposed to be on the van.
So you look at real software. And the demo is genuinely impressive — right up until you see the seat pricing, and work out that a five-man shop is looking at four figures a year before anybody has fixed a single condenser.
That is the gap this fills. Not a toy, and not a platform. A finished operations file that you own.
What the alternatives cost
Published list prices, read from each vendor’s own pricing page on 27 August 2026. Month-to-month rates, because that is what you pay in month one — several of these vendors default their own pricing toggle to the cheaper annual-billed figure.
ServiceTitan does not publish pricing at all — it is quote-only, so there is no honest figure to put in that table. Its tiers are listed without numbers on its own site.
Year one on the cheapest paid option in that table is $2,268. This is $149.99, once. In year two the difference is the whole subscription again.
Every tab, and what it does
Executive dashboard with a real time frame engine
Revenue, cost of goods, net profit and average gross margin — for today, this week, last month, a quarter, or any two dates you type. Every KPI, the technician leaderboard, both charts and all four sparklines follow the window together. The arithmetic behind it was proven across 4,000 date combinations before it shipped.
Dispatch board, seventeen columns wide
Job ID, customer, address, the two-hour window, priority, technician and status. Emergency calls tint the whole row. It is the one screen that answers who is on what, right now.
Job costing that includes the things people forget
True labour at your loaded cost, parts off the truck, cost of goods and net profit per job. Margin turns green above 35% and red below 15%, so a job that lost money cannot hide in a list.
Truck inventory that syncs from the ticket
Warehouse plus two trucks tracked separately, with a reorder flag per part. Parts used on a job come off that technician’s van when the ticket is closed out — one menu item, no double entry.
Branded invoice PDFs into your own Drive
One A4 page with your licence number and your logo, filed in a folder in your Google Drive and emailable straight from the sheet.
A maintenance CRM that chases the tune-up
Every customer, their system, their plan, and a days-since-service clock that flags OVERDUE before the season starts. This is the tab that pays for the file — recall work you already earned and would otherwise forget to ask for.
What lands in your inbox
A setup manual (HVAC_OS_Setup_Manual.pdf) with the link that copies the sheet into your own Google account.
The complete workbook — 7 tabs, every formula, dropdown, badge and chart already built. You format nothing.
A full year of demo data — click every button before your real jobs go in. One menu item erases it when you are ready.
Free lifetime updates.
Unlimited users. No seats, no per-crew fee, ever.
How you go from purchase to working file
There is no account to create and nothing to install. The whole setup is three steps and about ten minutes.
Open the manual and click the copy link. It drops a copy of the workbook into your own Google Drive. From that second it is your file — we cannot see it, edit it or switch it off.
Run Setup › Build Workbook, once. The script constructs 7 tabs with every formula, dropdown, status badge and chart in place. Google asks you to authorise your own copy the first time; the manual shows you the two clicks.
Enter your own numbers. Company details, your real hourly cost, your prices. Set them once, honestly — a labour rate that flatters you produces a margin that lies to you.
It ships with a full year of demo data, so every button and every report can be tried before a single real job goes in. One menu item erases it.
Who this HVAC dispatch spreadsheet is for
It is built for an owner-operator or a small shop — roughly one to eight crews — who has outgrown a notebook, does not want a per-seat subscription, and is comfortable typing into a spreadsheet.
It is not for you if you need a mobile app your crews log into, live GPS tracking, integrated card payments, or a platform that files your paperwork for you. Those are real needs and this does not meet them. If that is your shopping list, buy the subscription — it will be cheaper than buying this and then buying that anyway.
Read this before you buy
Will this work in Excel?
No, and I would rather say so on the ad than in a refund email. It runs on Google Apps Script. You need a free Google account. It will not work in Excel, Numbers or LibreOffice.
Do I need to know spreadsheets?
You need to be able to type in a cell and pick from a dropdown. Every formula, format and chart is built by the script. Aqua cells mean type here; grey cells mean the sheet works it out.
What is the catch with ‘no monthly fee’?
There is not one, and that is the whole product. You are buying a file, not access to a service. If we vanished tomorrow your sheet would keep working, because it runs entirely inside your own Google account.
Google will warn me about an unreviewed app.
Once, on first run. That warning appears for every script Google has not paid to review. It is your copy, in your account, on your data — the manual walks you through the two clicks.
One purchase, one spreadsheet in your own Drive. No subscription, no account to keep, no monthly fee.
One build command
Copy the file, reload it once, run a single menu command. Nothing to configure and no setup wizard.
Arithmetic you can check
Every figure that changes your plan shows how it got there, in the sheet, before anything is rewritten.
Your numbers stay yours
The script reads and edits that one spreadsheet. No email, no other Drive files, and nothing is collected by us.
Google Sheets only. Excel cannot run the automation. Menu commands need a desktop browser, and day to day use works on mobile.
Before you buy
How is it delivered?
Immediately, as a link to the workbook and a setup manual. You copy the file into your own Google Drive and it is yours from that point.
Does it work in Excel?
No. The automation is Google Apps Script, which only runs inside Google Sheets. Opening the file in Excel gives you a spreadsheet with no menu and formulas that will not resolve.
What if it will not build?
Reload the file first, because the menu only appears after the first reload. If that does not fix it, support goes to a person and you get a reply rather than a ticket number.
Can I get a refund?
Within 14 days, if the workbook will not build or does not do what this page says it does. The one exclusion is buying it for Excel, which is stated here, in the terms, and on How it works.
